Summary
- We collect personal information only when you give it to us: through the forms on this site, by email or phone, or through a Microsoft commercial marketplace listing.
- We use it to answer you, prepare quotes and proposals, deliver what you order, and meet our legal obligations.
- We do not sell personal information, and we do not share it for advertising.
- We use Microsoft Clarity to see how visitors use this site (page views, clicks, session replay), with the text you type into forms masked. We run no advertising trackers.
- You can ask us to access, correct or delete your information at any time at ceo@pankh.ai.
1. Who we are and what this policy covers
Pankh Technologies LLC (“Pankh AI”, “we”, “us”) is a limited liability company registered in Wyoming, USA, at 1621 Central Ave, STE 7035, Cheyenne, WY 82001. We operate pankh.ai, publish offers on the Microsoft commercial marketplace (Azure Marketplace and Microsoft AppSource), and provide AI, cloud, software and hardware-procurement services.
This policy explains how we handle personal information when you visit pankh.ai, contact us, request a quote, use one of our marketplace offers, or work with us. It applies to every offer we publish on the Microsoft commercial marketplace. Where a signed agreement with your organisation says something more specific about personal information, that agreement applies to the work it covers.
We are the data controller for the information described here. Microsoft is a separate, independent controller for what it collects when you use its marketplace; see the Microsoft Privacy Statement.
2. Information we collect
2.1 Information you give us
- Contact form and hardware RFQ form — your name, work email address, company, the topic you choose and your message; for hardware requests also the products or categories you select, quantity, preferred manufacturer, timeline and the state to deliver to.
- Quote requests from the product catalogue — the items and quantities on your quote list, your name, work email address, company, country, phone number (optional), the date you need delivery by, and any notes.
- Email, phone and messaging — whatever you include when you email us, call +1-307-338-3630, or message us through the WhatsApp link on the Contact page.
- Engagements — business contact details of the people we work with during a feasibility assessment, deployment, procurement or support engagement, and the content of that work.
Please do not send us sensitive personal information (such as health, biometric or financial account data) through this site. We do not ask for it and do not need it to quote or deliver.
2.2 Information from the Microsoft commercial marketplace
- “Contact me” and consulting-service listings — when you ask to be contacted through a listing, Microsoft sends us the details you entered: name, email address, company, phone number, country and your message. Microsoft handles that step under its own terms.
- Managed applications and transactable offers — Microsoft shares the information needed to provision, bill and support the offer: the identity of the purchasing organisation, the Azure subscription and tenant identifiers, the plan, deployment name and region, and usage that determines what Microsoft bills. Microsoft does not share your payment card or bank details with us.
- Support requests — the name and contact details of the person raising a support request, and the diagnostic information they choose to include.
2.3 Information collected automatically
Our hosting provider keeps standard web server logs for pankh.ai: IP address, browser and device type, the pages requested, the time of the request and the page that linked to us. We use these logs only to keep the site secure and available. Separately, we use Microsoft Clarity to record page views, clicks, scrolling and anonymised session replay so we can see where the site is confusing; Clarity is configured to mask the text typed into forms. pankh.ai does not use advertising networks or advertising tracking pixels. 2.4 Information stored in your browser
The product catalogue keeps your quote list in your browser’s local storage so it survives a page reload. It stays on your device and is not sent to us until you submit a quote request. Details on the cookies pankh.ai sets are in our Cookie Policy.
3. How we use information, and on what basis
- To respond to you — answer enquiries, prepare quotes and proposals, and follow up on them. Basis: our legitimate interest in responding to business enquiries, or steps taken at your request before entering a contract.
- To deliver what you order — provision and support marketplace offers, deliver hardware, run engagements, invoice and collect payment. Basis: performance of a contract.
- To operate and protect pankh.ai and our offers — security monitoring, abuse prevention, debugging. Basis: legitimate interest.
- To meet legal obligations — accounting, tax, export-control and sanctions screening, and responding to lawful requests. Basis: legal obligation.
- To keep in touch — occasional emails about services relevant to an enquiry or engagement you had with us. Basis: legitimate interest, or consent where the law requires it. Every such email has an unsubscribe link, and you can opt out at any time by emailing us.
We do not use personal information for automated decision-making that has legal or similarly significant effects on you, and we do not build profiles of visitors.
4. Marketplace offers and managed applications
Our Azure managed applications deploy into your own Azure subscription and tenant. Your documents, prompts, model outputs, databases and other application content stay inside your environment. As the publisher we hold management access to the managed resource group so that we can patch, update and support the application. We use that access only for those purposes, we do not copy application content out of your environment, and we do not use it for any purpose of our own. If a support case requires us to look at application content, we do so only with your permission and only to the extent needed to resolve the case.
For consulting-service listings, the personal information we receive is the contact details Microsoft forwards and what you then share with us directly. Anything we learn about your systems during an assessment is handled under the agreement for that assessment.
5. Who we share information with
We do not sell personal information and we do not share it for cross-context behavioural advertising. We share it only with:
- Service providers that run our business — Microsoft Azure hosts pankh.ai and our internal enquiry-tracking system, and we use email and document services to work with you. These providers act on our instructions under contracts that limit what they may do with the information.
- Microsoft, as marketplace operator — to list offers, receive leads, provision managed applications and settle marketplace billing. Microsoft processes that information under its own privacy statement.
- Delivery and fulfilment partners — when you order hardware, the partners who deliver it receive only what they need to complete the delivery, such as the delivery address and a contact name and phone number.
- Professional advisers and authorities — accountants, lawyers and insurers under confidentiality obligations, and regulators, courts or law enforcement where the law requires it.
- A successor business — if Pankh AI is sold or merged, the buyer, who would be bound by this policy for the information transferred.
6. Where information is processed
We are based in the United States and process information there, on Microsoft Azure. If you contact us from the European Economic Area, the United Kingdom or Switzerland, your information is transferred to the United States under the European Commission’s Standard Contractual Clauses or the UK International Data Transfer Addendum, and our service providers are bound by equivalent terms. You can ask us for a copy of the safeguards that apply to you.
7. How long we keep information
- Enquiries, quotes and marketplace leads — while we are in contact with you and for up to 3 years after our last exchange, so that we can pick a conversation back up.
- Orders, contracts and invoices — for the length of the relationship and then 7 years, to meet accounting and tax rules.
- Web server logs — up to 90 days, unless a security investigation requires longer.
- Marketing contact details — until you unsubscribe or ask us to stop.
When information is no longer needed, we delete it or anonymise it so it can no longer identify you.
8. How we protect information
Enquiries and quote requests travel over HTTPS and are stored in access-controlled systems on Microsoft Azure with multi-factor authentication for our staff. Access is limited to the people who need it to respond to you or deliver your order. No method of transmission or storage is completely secure, so if you believe an account or message has been compromised please tell us at once.
9. Your rights
Depending on where you live, you may have the right to:
- know whether we hold personal information about you, and receive a copy of it;
- have inaccurate information corrected;
- have information deleted;
- receive information you gave us in a portable format;
- object to, or ask us to restrict, particular processing;
- withdraw consent, where processing is based on consent, without affecting what was done before;
- opt out of the sale or sharing of personal information (we do neither); and
- not be treated differently for exercising these rights.
These rights arise under laws including the EU and UK GDPR, US state privacy laws such as the California Consumer Privacy Act, and India’s Digital Personal Data Protection Act. To exercise any of them, email ceo@pankh.ai or write to the address in section 13. We will confirm your identity, usually by replying to the email address we hold for you, and answer within 30 days (45 days for requests under US state laws, extendable once where the law allows). An authorised agent may act for you if they show us your written permission. If we refuse a request you may appeal by replying to our decision, and you can also complain to the data-protection authority where you live.
We do not sell or share personal information, so a Do Not Track or Global Privacy Control signal has nothing to opt out of on that front; we treat either signal as an opt-out from any sale or sharing in any case. Our Microsoft Clarity analytics (section 2.3) does not currently change its behaviour based on a Do Not Track or Global Privacy Control signal; you can block it by disabling third-party scripts or cookies from clarity.ms in your browser.
10. Children
pankh.ai and our offers are for businesses and are not directed at anyone under 18. We do not knowingly collect information from children; if you believe a child has sent us information, contact us and we will delete it.
11. Links to other sites
pankh.ai links to LinkedIn, GitHub and WhatsApp, and marketplace listings link to Microsoft pages. Those services have their own privacy policies, which apply once you leave our site or open a chat with us in WhatsApp.
12. Changes to this policy
When we change this policy we post the new version here with a new effective date. If a change materially reduces your rights, we will tell people we are in contact with by email before it takes effect.
